Manage Your Work, Don't Let It Manage You

"Manage Your Work, Don't Let It Manage You"

Tips for Managing Your Time and Getting Ahead

Time management is one of those skills no one teaches you in school but you have to learn. Effective time management is a primary means to a less stressful life. These practices can help you reduce your stress and reclaim your personal life.

Seven Suggestions for Effectively Managing Your Time

1. Be Organized
  • Use time saving tools: appointment calendars, "to do" lists, e-mail, answering machines, file folders, etc.
  • Have an organized workplace.
  • Use your appointment calendar for everything, including listing study time.
  • Use "to do" lists for both long-term and for each day/week.

2. Plan Ahead (Schedule it and it will happen!)
  • Determine how long your tasks will take (do this before agreeing to take on a task!)
  • Consider whether any activities can be combined.
  • Determine if big tasks can be broken down into smaller tasks that may be easier to schedule.

3. Prioritize Your Tasks

  • Use an A-B-C rating system for items on your "to do" lists with A items being highest priority.
  • Set goals for both the short term and long term as to what you want to accomplish.
  • Don't postpone the small tasks.

4. Avoid Overload
  • Include time for rest, relaxation, sleep, eating, exercise, and socializing in your schedule.
  • Take short breaks during study and work periods.
  • Don't put everything off until the last minute.
  • Learn to say "NO" when appropriate and to negotiate better deadlines when appropriate.

5. Practice Effective Study Techniques
  • Have an appropriate study environment.
  • Read for comprehension, rather than just to get to the end of the chapter.
  • Do the most difficult work first.
  • Don't wait until the last minute to complete your projects.
  • Be a model student! (be attentive and participative in class, and punctual, prepared, and willing to learn).

6. Be Able to be Flexible
  • The unexpected happens (sickness, car troubles, etc.); you need to be able to fit it into your schedule.
  • Know how to rearrange your schedule when necessary (so it doesn't manage you - you manage it).
  • Know who to ask for help when needed.

7. Have a Vision (why are you doing all of this?)
  • Don't forget the "Big Picture" - why are you doing the task -
  • Have and follow a personal mission statement (personal and career).
  • Know what is important to you.
  • Have a positive attitude!

How to Organize an Event!

" Organizing a Successful Event requires a lot of planning and coordination "

1. Planning:

  • Timing: Check against a calendar to see if the event would conflict with anything, or be at an inconvenient time of the school year (very difficult to get students to come out the last week of class).
  • Who, What, When, Where.

2. People

Find all the people you need to organize something.

"Good leaders gather people who are smarter than themselves around them"

3. Advertising:

This is The Most Important Step.
All the plans in the world are useless if no one comes.
  • Make posters or printouts to hand to people.
  • Make a facebook event or a website.
  • Send e-mails.
  • Be clear and concise in all communication. Say the most with the least words.
  • Talk to people. This makes it seem real, and reinforces the message.
  • Be excited! If you're not excited about your event, why would anyone else want to come?

Hints:
  • Good team members with different skills are a necessity.
  • Make sure to gather volunteers.
  • Prepare a Budget.
  • Prepare a draft poster.
  • Prepare a draft schedule of the activities in the event.
  • Prepare a time line (with deadlines) for each activity.
  • Make sure to keep team members and supervisors 'up to speed' with your plans.
  • Fix the date, venue, name of the event and tag-line.
  • Get approval for your budget, schedule, and etc.
  • Once again, meet with team members and volunteers to brain storm any problems that might arise.
  • Delegate work to different people and let an experienced person coordinate all activities.
  • Market the event.
  • Make sure the team does not have any internal problems
  • Gather items needed for the event.
  • Make arrangements for Photos, videos etc.
  • Make arrangements for food and refreshments.
  • Make arrangements for chairs, tables, backdrops, microphones, speakers, computers, LCD projectors, podiums to be set up at the venue.
  • Prepare a list with all relevant mobile, phone numbers, emails ids of team members.
  • Give proper instructions to the team members on how to handle every situation.
  • Make sure you communicate with everyone on how to reach the venue and the time.
